Hi,

Is there a way to reduce the sizes of word documents (not by using pdf or rtf) when exporting graphics of the models to word. I am using the outgraphic command, and with each model graphic, some detail in a table regarding the information available for the objects on the models. Our users needs to distribute these documents for comments etc and the sizes are to big for emailing.

Anny suggestions?

HI Ciska,

Instead of running full report,you can spilt the model and run the report.It will give you the small size of documents.

Hi Anandh,

Yes, we do have an option to run it from a lower level, as in aris, but before the document needs to be signed off they need it for the whole process, eg. each Level 1 and all the below levels (level 2 and level 3's). And this is where the size of the document becomes an issue.

Is there a way you know of, programmable, to reduce these sizes?

As we go back as from the toolset scripting, a big process whould be around 5mb, running the java version of the custom script, the size is around 20-30mb, what is different in toolset than in java?

As per my knowleadge its not possible.

You want run the report on all level graphic?

Would you tried for PDF also?

 The Word output document is so large because in fact, the format is not really WORD but it's RTF. What happened before with the toolset was that when you generated WORD output, the report was created in RTF format on the server and was then opened and saved by a WORD instance on the server. Hence the reason why for VBS reports you need an installation of Office on the server.

With the JAVA reports it is no longer possible to have the output documents opened and saved by a WORD instance. So, what you need to do before trying to mail the document is to open it in WORD, select 'save as' and indicate that you want to save it in WORD .DOC format. You will see that the document size will be reduced with a factor 10 or 20.

You speak of documents with a size of 20 to 30 MB, I have seen documents of 300 MB and more at clients. Imagine what impact this has on the network traffic.

Thank you Koen, I will advice the clients to save it as a word document before emailing. At the end pdf format would be much easier but that will only be when all the changes has been applied and ready for sign off.
