Welcome to our tutorial on the central user and license management in ARIS, called UMC.

In this tutorial, we will show you how the UMC centralizes license management and distribution to reduce workloads and data inconsistencies and increases transparency.

After having logged-in, you start at the User Management page. From there, you can directly go to the License Management

The license key file structure and the delivery of ARIS license keys has changed. With ARIS 9, you will receive a zipped file containing a number of xml files that can be imported on your server in one simple step.

After import, you will immediately see all ARIS products you have on the left side of the Web UI. On the right you can see license key details.

ARIS 9 differs between named and concurrent users. In this example, we have 20 named users for ARIS Architect available which means that each of the 20 users is assigned to one specific license. As soon as you start allocating some of the keys to users, the number of available licenses will decrease and be shown in the upper right corner.

The concurrent user license model would mean that more than 20 users share 20 concurrent licenses. That means if the 21st user tries to use his ARIS Client while the 20 licenses are already in use, he has to wait until somebody logs off.

So, in summary, the license management of the UMC lets you see (

  • the available products,
  • the total number of licenses available,
  • the expiration dates and
  • the license types

Here is some additional information about license management:

  • License types cannot be mixed, so either you have named OR concurrent licenses on the tenant
  • Additional licenses of the same product can be imported at various stages

After having imported the license keys, the next important step is the user or user group management where licenses are allocated to users.

Creation and management of ARIS users can now be handled for all ARIS products in one and the same space, thereby also supporting single sign on between different ARIS products. Either manually create users and user groups or use the intuitive interface to import users from your LDAP system.

Just click on “Add user” and create a new one just by filling in the details.

After having created a new user, you need to set the privileges for this user.

There are 2 different kinds of privileges: Function and License privileges

The Function privileges are introduced to allow more granularity and role specific setup and assignment of tasks. Depending on the installed ARIS components, a number of special permissions called function privileges can be given to different key users. The functional privileges are independent of any license privileges.

The License privileges tab is the place where the assignment of a user or a group of users is managed. Simply open the privileges tab and allocate relevant license privileges.

Now the end user is ready to start his or her ARIS client and will just get the license privileges that have been assigned, without ever having to receive or entering a license key.

User groups can easily be created in the UMC to set permissions on user group level or to assign user(s) to user group.

As a result the User Management Console:

  • is easily accessible via a browser-based UI
  • holds all ARIS license keys in one central place
  • removes the need to send ARIS license keys to end users
  • allows the creation and management of users and user groups for all ARIS products
  • includes the configuration, setup and administration of an integrated ARIS Document Storage
